Policy & Procedures

At Clever Daycare, we understand the importance of securing childcare for your family and strive to accommodate all families on our waiting list. However, please be aware that the availability of spaces depends on various factors, including the child’s age and the current capacity of our age groups. While we are committed to serving our families in the best way possible, the waiting period for available spots may vary, and sometimes, it can take longer than expected.

 

Waitlist Overview

– Our Client Services team maintains the waitlist in chronological order.

– Families may add their child to the waiting list if there is no current availability for their preferred start date.

– A non-refundable fee of $100 per child is required to be placed on the waiting list.

– Upon the parent’s request, the parent receives the waitlist confirmation email (following the payment of the $100 fee). 

 

Factors Influencing Waitlist Position

Children are offered spaces based on several criteria, not solely on the date of waitlist confirmation. These criteria include:

– The date the parent receives the waitlist confirmation email

– The requested start date for care.

– The child’s age group at the time they would begin care.

– The type of attendance requested (Full-time or Part-time).

Note: The child’s waitlist position is not exclusively determined by the date they joined the list. When a spot becomes available, we prioritize offering the spot to the child who best fits the age group and request the start date of the open space.

 

Priority for Available Spaces

Before contacting families on the waitlist, priority for available spots is given in the following order:

  1. Children transitioning to the next age group within the centre.
  2. Children of Clever Daycare staff.
  3. Siblings of children already enrolled at the centre.
  4. Children transferring from another Clever Daycare location.

 

Waitlist for Multiple Clever Locations

– Each Clever Daycare location has its waitlist.

– If a family accepts a spot at another Clever location (not their first choice), they will be exempt from the $100 waitlist fee and placed on the VIP waitlist for their preferred centre.

– Families wishing to place more than one child on the waitlist must follow the policy and procedures for each child individually.

 

Deferrals and Start Date Changes

– If a parent/guardian defers a space or requests to move the start date, their position on the waitlist will be determined by the date they initially registered for the waitlist.

– If no space is available for the requested start month, the application will automatically be moved to the following month’s waitlist.

 

VIP Waitlist

Clever Daycare offers a VIP waitlist for families meeting specific criteria:

– Siblings: Siblings of a child currently enrolled at a Clever Daycare centre or siblings of a child who attended within the past 18 months and left in good standing.

– Transfers from other Clever centres: Parents who accept a spot at one Clever location while waiting for a spot to open at their preferred centre.

– Schedule changes: Children currently enrolled at Clever Daycare seeking to change their care arrangement (e.g., from part-time to full-time).

 

Enrollment Process for Waitlisted Families

Enrollment is ongoing and can occur at any time during the year. When a spot becomes available:

  1. Families on the waiting list will be contacted via email.
  2. Families will have 48 hours to accept the space and confirm their start date.
  3. families must pay a non-refundable $250 administration fee and a non-refundable first-month fee to secure the space.

Declining a Spot

– If a family is contacted and does not wish to accept the space at that time, they must inform Clever Daycare to remain on the waitlist.

– The family’s position on the waitlist will remain unchanged if they choose to stay on it.

 

Waitlist Status

Families may request updates on their child’s status on the waitlist. Client Services will provide an estimate while ensuring the privacy and confidentiality of all children on the list.

 

Removing from the Waitlist

Families will remain on the waitlist until they either request removal or fail to respond to offers or communication regarding their waitlist status.
